The Administrative Assistant is responsible for transporting staff and materials for the International Republican Institute (IRI) and assisting with the pickup and delivery of IRI-related business items. This role ensures the safe and efficient transport of IRI staff and any authorized individuals in IRI vehicles to their required destinations. Additionally, the Administrative Assistant will ensure that driving and logistical services are provided to IRI staff members and visitors in an effective and efficient manner.
Duties and Responsibilities
Being responsible for the safety and security of the passengers on board and obeying all vehicle use policies and country traffic laws.
Timely reporting of any accidents or incident involving the vehicle, other vehicles, or pedestrians to immediate supervisor
Making sure that the proper procedures for insurance claims are followed at the time and scene of any accident and timely reporting to the immediate supervisor.
Being responsible for any loading or offloading of the vehicle he/she is driving.
Always Observing all security policies and guidelines
Maintaining all reports in the vehicle logbook (start and end kilometers, consumption date and quality & general vehicle condition)
Support staff in travel arrangements for field visits and other program activities
Book lodging for IRI visitors and organizing for all necessary logistics
•Solicitation of quotation in the process of booking for retreats, staff meeting and training
Qualification, Experiences and Competencies
Experience of at least 3 years in a professional environment
Experience in transportation logistics
A valid driving license CAT B and D and excellent driving skills
Fluent in English both written and spoken
Previous work experience on a USAID project or other U.S. government project is highly desirable.
Good interpersonal, listening and communication skills and the ability to work in and group and independently, take initiative and prioritize tasks
Good capacity for discretion and working in a multicultural environment.
