Job Description
These duties and requirements ensure that an Office Attendant can efficiently support the day-to-day operations of an office, maintain a clean and organized environment, and assist staff and visitors as needed.
Duties and Responsibilities
Office Maintenance and Cleanliness:
Ensure the cleanliness and tidiness of the office premises, including workspaces, meeting rooms, and common areas.
Clean and sanitize restrooms, kitchen areas, and other facilities.
Dispose of waste and manage recycling efforts.
Support Services:
Assist with the preparation and setup of meeting rooms, including arranging furniture and equipment.
Provide support during meetings and events, such as serving refreshments and managing audio-visual equipment.
Handle incoming and outgoing mail, including sorting, distributing, and dispatching.
Clerical and Administrative Support:
Perform basic clerical duties such as photocopying, scanning, and filing documents.
Assist with data entry and maintaining records.
Manage office supplies inventory and ensure that necessary supplies are stocked and available.
Reception Duties:
Greet visitors and direct them to the appropriate person or department.
Answer phone calls and take messages as needed.
Provide general information and assistance to visitors and staff.
Errands and Deliveries:
Run errands for office staff, such as collecting documents, making deliveries, and purchasing supplies.
Manage courier services and ensure timely delivery and receipt of packages.
Equipment and Facility Management:
Ensure the proper functioning of office equipment such as printers, copiers, and fax machines.
Report any maintenance issues or equipment malfunctions to the appropriate personnel.
Assist with minor repairs and routine maintenance tasks.
Qualification, Experiences and Competencies
Educational Qualifications:
A high school diploma or equivalent is typically required.
Basic literacy and numeracy skills are essential.
Experience:
Prior experience in a similar role may be preferred but is not always required.
Experience in customer service or administrative support can be beneficial.
Skills and Competencies:
Good organizational and time management skills.
Basic computer skills, including familiarity with email, word processing, and data entry.
Strong interpersonal and communication skills.
Ability to follow instructions and work independently or as part of a team.
