Job Description

Manage the petty cash fund, ensuring there are sufficient funds available for daily operations.

Duties and Responsibilities

Cash Management:

  • Manage the petty cash fund, ensuring there are sufficient funds available for daily operations.

  • Disburse petty cash for authorized expenses and ensure proper documentation.


Record-Keeping:

  • Maintain accurate records of all petty cash transactions, including receipts and vouchers.

  • Record transactions in the petty cash ledger or accounting software.


Reconciliation:

  • Regularly reconcile the petty cash fund to ensure that the cash on hand matches the recorded amounts.

  • Identify and resolve discrepancies promptly.


Reporting:

  • Prepare periodic reports on petty cash usage and balances for management review.

  • Assist in preparing financial reports by providing necessary petty cash information.


Policy Compliance:

  • Ensure that all petty cash transactions comply with the organization's policies and procedures.

  • Monitor and enforce adherence to petty cash limits and authorization protocols.


Request Processing:

  • Review and process petty cash reimbursement requests, ensuring they are properly authorized and supported by receipts.

  • Ensure that all requests are legitimate and fall within the approved petty cash guidelines.

Cash Replenishment:

  • Request replenishments of the petty cash fund as needed to maintain operational liquidity.

  • Ensure proper documentation and approval for replenishments.


Audit Preparation:

  • Assist with internal and external audits by providing requested petty cash records and documentation.

  • Implement audit recommendations to improve petty cash management.

Qualification, Experiences and Competencies

Educational Qualifications:

  • A minimum of a high school diploma or equivalent.

  • Additional qualifications in accounting, finance, or business administration are advantageous.


Experience:

  • Prior experience in cash handling, bookkeeping, or a related field is preferred.

  • Experience in an administrative or accounting role is beneficial.



Skills:

  • Proficiency in basic accounting principles and practices.

  • Strong numerical and analytical skills.

  • Attention to detail and accuracy in record-keeping.

  • Proficiency in using accounting software and Microsoft Office, especially Excel.


Personal Attributes:

  • High level of integrity and honesty.

  • Strong organizational and time-management skills.

  • Ability to work independently and manage multiple tasks simultaneously.

  • Excellent communication and interpersonal skills.


Knowledge:

  • Understanding of petty cash management procedures and best practices.

  • Familiarity with financial policies and internal controls related to cash handling.


Additional Requirements:

  • Trustworthiness, as the role involves handling cash and sensitive financial information.

  • Ability to maintain confidentiality and exercise discretion.
